Who are Circle Case Management?
Enhancing Client Care
We sat down with Nicola from Circle Case Management to discuss their experience of transitioning from another digital care management provider to Care Control. Nicola shared insights on how our team supported them throughout the process, ensuring a smooth migration and addressing their unique needs. Our collaborative approach has helped Circle Case Management enhance their service delivery and achieve better outcomes for their clients.
How did the migration process from your previous system to Care Control go? Were there any aspects that stood out as especially positive or challenging?
The switch between systems in any business can be stressful and time-consuming. Care Control managed the switch-over as seamlessly as possible, reducing stress through their fantastic multi-department management.
They addressed issues raised by our Case Managers and service users during the process. Care Control listened intently and worked tirelessly to create solutions and redesign the system around our needs. Case Management regularly requires creative solutions, and our system needed to reflect our creative approach.
How has your experience with the Care Control team been?
The Care Control team has matched our energy perfectly. They are honest, great at communication, responsive to our needs, and positive at every interaction.
They have handled endless questions from our team as we got to grips with the system’s rollout for our service users. Nothing has been too much trouble for them, and they have taken every issue and question with excitement, aiming to resolve and evolve their systems to suit our needs.
Can you provide examples of how the new features have or will help improve your daily operations or client care?
In groundbreaking developments, Care Control has provided a service truly reflective of our clients’ needs, conditions, injuries, and physical appearance.
This has, for the first time, given our service users a service as unique as they are.
How has the tailored development of our software impacted your team’s efficiency and client satisfaction?
The team is very excited to roll out Care Control to all our service users. The new system is tailored to their individual needs, injuries, and conditions.
This will make the operational side more efficient, increase productivity, and eliminate unnecessary time-consuming processes that are included in “one size fits all” systems.
How has Care Control supported you in enhancing different areas of our software to better suit your client’s needs?
The support from the entire Care Control team has been refreshing and very welcome. No matter the suggestion or creative idea, the team looks for suitable developments to bring our ideas to life.
Our service users have been at the center of every conversation, email, and meeting, giving us great confidence from day one that this system would be designed around our service users.
If you could give any tips for anyone thinking of going digital or migrating suppliers, what would it be?
I would fully recommend Care Control to anyone wanting a system uniquely tailored to their clients’ and team’s needs. Despite issues from our previous system provider, Care Control managed the migration efficiently, ensuring minimal disruption to our service.
With transparent communication at every step, we were able to plan accordingly with each team. Our system now reflects our company ethos of a client-centred service.

Understanding the Challenges
Circle Case Management highlighted to Care Control that one of their clients felt underrepresented in their care plan because the existing body maps did not accurately depict amputations or the true body of a younger person.
Finding the Solution
Unlike other digital care management providers who were unwilling to address this issue, Care Control took the initiative to develop inclusive body maps that accurately represent amputations and medical conditions for adult service users, as well as for babies, children, and young adults.
Additionally, these new body maps allow for skin colour adjustments to represent any ethnicity, fostering a more inclusive and accurate representation for all service users.
Inclusive Body Maps
Circle Case Management’s collaboration with Care Control has resulted in the creation of a groundbreaking, inclusive digital care management system. This system addresses the unique needs of each service user, offering a truly personalised experience.
Unlike other providers, Care Control listened to feedback and developed body maps that accurately represent amputations and physical characteristics of service users of all ages, from babies to adults. Additionally, the ability to adjust skin colour ensures that our body maps represent all ethnicities, promoting inclusivity and accurate representation.
Where did the need for inclusive body maps come from?
“While discussing our clients’ needs and how to reflect them within the system, Case Manager Caroline shared invaluable feedback from a service user who felt not properly represented in the body maps used by any service provider, private or NHS.
When we shared this with Care Control, our conversation shifted from discussing problems to discussing solutions. As client-focused service providers, both Circle Case Management and Care Control wanted to ensure all service users were properly represented in a fully inclusive system.
Visual representation is crucial. Authentic representation challenges the one-size-fits-all narrative. Disabilities are as diverse as the individuals who live with them, and body maps should be as individual as the user.
Our service user has taken great pride in knowing her feedback is helping shape the future of our systems by ensuring other users have a true visual representation of themselves.”
